Easyfairs is one of Europe’s most prominent event organisers, staging more than 200 trade shows and exhibitions annually across industries including manufacturing, healthcare, technology, and packaging. Recognised among the top 20 global exhibition organisers, Easyfairs is guided by a mission to "visit the future" — continuously embracing innovation, sustainability, and forward-thinking experiences.
A flagship example of this vision is Paris Packaging Week, the leading European event for luxury and premium packaging. Hosted in the heart of Paris, the event brings together thousands of professionals from the beauty, cosmetics, fragrance, aerosol, wine, and spirits industries. With its dynamic conferences, innovation showcases, and immersive atmosphere, Paris Packaging Week is designed to inspire, engage, and connect.
Overview
As the event’s international profile continues to grow, Easyfairs saw an opportunity to enhance accessibility and deliver a multilingual experience that matched its high standards. They began exploring smarter ways to make event content more inclusive — without adding logistical burden. That’s when a fresh approach to language access entered the picture. Easyfairs decided to partner with Interprefy for a fully multilingual experience powered by our cloud-based interpretation and live captioning solutions. The result was a flexible, scalable setup that made it easy for attendees to access content in their preferred language, using their own devices.
The Challenge
Moving Beyond Traditional Interpretation
Paris Packaging Week had long offered interpretation for key sessions, but the traditional approach — with onsite interpreter booths, headsets, and heavy coordination — no longer aligned with Easyfairs' evolving standards for innovation and efficiency.
Managing interpreter cabins, booking extra space, arranging lunches — it became a stress factor. It worked, but it didn’t feel aligned with how we run events now.- explained Amélie Degueldre, Head of Operations for Paris Packaging Week.
Beyond operational friction, there was a growing need to provide more flexible and inclusive language access. With an increasingly international audience, the team sought a solution that was seamless, device-agnostic, and easily scalable.
The Approach
A Smarter Way to Support Multilingual Participation
To meet the need for a modern, accessible multilingual experience, Easyfairs partnered with Interprefy to provide real-time interpretation and live captions without the technical and logistical demands of traditional setups.
For their January 2025 event in Paris, attendees accessed two-way interpretation between English and French directly through their smartphones by scanning a QR code — no headsets, no queues, no manual distribution. For guests who preferred a different option, IR receivers were also available.
With an estimated 500 participants per interpreted session, and three parallel rooms requiring language support, Interprefy’s app-based platform provided instant scalability.
You just scan the code and listen in your own language. It’s that simple — and it made things easier for everyone involved. - said Amélie
Live captions were provided and displayed on large screens, making it easier for attendees with hearing loss, non-native speakers, or anyone who preferred to read along to stay engaged throughout the sessions.
Interprefy’s team also worked closely with Easyfairs' AV partner to ensure a smooth setup and reliable delivery across all rooms. From pre-event planning through to onsite coordination, the communication was clear, responsive, and effective. Once the integration was in place everything ran as expected. This close collaboration helped streamline delivery and allowed the Easyfairs' team to focus on what mattered most: delivering an engaging experience for all attendees.
Finally, Interprefy was the most cost-effective choice. Competing providers quoted more than twice the price, making Interprefy not only a smarter solution operationally, but also financially.
The Outcome
A Multilingual Experience that Reflected the Easyfairs Brand
The results were felt both behind the scenes and on the event floor. Engagement increased because the technology was easy to use and available on the devices attendees already had.
With booths and headsets, engagement was lower. But with Interprefy, people just used their own earbuds — and participation went up. - added Amélie
Operational complexity was reduced significantly. With fewer technical requirements, Easyfairs' event team could focus more on attendee experience, rather than managing hardware and interpreter logistics.
The solution also delivered on Easyfairs' sustainability goals, providing a fully digital setup that reduced waste and environmental impact without compromising on performance. By eliminating the need for hardware shipping, disposable equipment, and printed materials, Interprefy contributed to Easyfairs reducing their footprint — aligning with their broader ESG objectives.
Setting a New Standard for Multilingual Events
For a forward-thinking organiser like Easyfairs, accessibility and innovation go hand in hand. By partnering with Interprefy, they replaced outdated interpretation systems with a flexible, cloud-based platform that delivered high-impact multilingual experiences for attendees and organisers alike.
Whether measured in attendee engagement, operational simplicity, cost savings, or environmental impact, Interprefy proved to be more than just a vendor — it has played a meaningful part in helping Easyfairs shape the future of inclusive events
